Registration of guests, handling of personal data (GDPR)

 

Dear Guests,

I would like to inform you that in order to make a reservation at the CASTLE HILL APARTMENTS, it is necessary to provide following personal data 

1.) in order to maintain contact between the host and the guest and to provide information - booking name, phone number, communication contact/E-Mail address

2.) for mandatory recording in the Closed Guest Information Database (VIZA in Hungarian) - mandatory data to be administrated of all guests - see details here: VIZA

 3.) and to fulfill the accommodation tax's accounting obligations (invoicing) - billing name and address, VAT ID of companies .

 

Furthermore for the recording the data, guests over the age of 14 using the accommodation service shall present their identification documents to the accommodation service provider.

  

By booking through our website www.castlehill.hu or other online and offline bookings, as a user, you accept the provisions of this data protection information.

 

In accordance with our legal obligation, we report the stay of all our guests to the Municipality of Eger County. Persons over the age of 18 are required to pay tourist tax/city tax (IFA), which is not included in the booking price. The rate of the IFA is HUF 580 per day from January 1, 2023.

I. Handling of personal data in accordance with the General Data Protection Regulation (2016/679/EG)

The data controller of the Castle Hill Apartments is responsible for the personal data we receive in connection with assignments and personal data that are handled when an assignment is prepared or administered.

We handle the data in order to be able to carry out and administer the assignment, to protect your interests and for purposes of billing and accounting. The data has its legal basis in among other things the data protection regulation and the bookkeeping act. The stated statutes allow for handling of the information with the purpose of enabling us to fulfill our duties towards our clients/registered and other legal frameworks. The statutes also allow, after a balancing of interests in which among other things any objections to the handling made by the registered is taken into consideration, for handling of personal data for our and other businesses within the corporate groups justified interests to develop, to market and to administrate our services and business activities in an effective way and also to protect our civil rights and obligations. The data can also be used for business- and method development, market analysis, statistics and risk management. The data that is handled in order to develop and analyze the business is handled on the basis of our justified interest to develop the business and to communicate with our contacts.            

We will not disclose any personal data to any third party apart from instances where it has been expressly agreed upon between the company and the registered if it is necessary in order for us to fulfill our legal obligations or in cases where we hire an external service provider that carries out assignments on our behalf.   

The personal data is saved, in accordance with the company’s obligations in accordance with the regulations mentioned above, for a period of 10 years from the completion of the assignment or from the final invoice’s date of payment or for an extended period of time as a result of the nature of the assignment. Personal data related to notices of interest in regards to apartments will be erased within two years. If you cancel newsletters etc. all personal data referred to the newsletters will be immediately deleted.   

You have the right to, free of charge, demand information from the company about the usage of the personal data that concerns you. We will on your request, or on our own initiative, correct or delete data that is inaccurate or limit the handling of such data. Furthermore, you have the right to demand that your personal data is not used for direct marketing. You also have the right to receive your personal data in a computer-readable form (or, if technically possible, get your data transferred to a third party of your choice). If you are dissatisfied with our handling of your personal data you can submit a complaint to a supervisory authority. You can also contact the supervisory authority in the country where you live or work.

III. Purpose of data management

  • In order to maintain contact it is necessary to provide your data to the operator of the private accommodation in order to be able to properly inform you of the essential circumstances arising from the contractual relationship.

  • We also need your personal data to issue an invoice for the accommodation service.

  • The operator of the Castle Hill Apartments classified as private accommodation, has legal obligations, the fulfillment of which requires the provision of personal data (Closed Guest Information Database, National Tax and Customs Administration, Municipality of the City of Eger , National Tourism Data Supply Centre).

Terms and house rules

Check-in / Check-out time

Check-in time on the dal of the arrival from 3:00 p.m. to midnight

Check-out time on the dal of departure from 0:00 a.m. to 11:00 a.m. 

According to a separate agreement, it is possible to occupy the accommodation at an earlier time or to stay longer on the day of departure. In both cases, prior consultation is required. 

The accommodation can only be used by pre-agreed number of guests. The guests may only receive visitors with the operator's knowledge and consent.

We ask you to observe silence at night from 10:00 p.m. to 7:00 a.m.!

Access to the apartments

You will get the main entrance gate code from the street on the date of your arrival by SMS. You can enter into the apartments with the keys in the key boxes located in front of the apartment entrance door. For security reasons, the code for the key boxes will be sent by SMS on the day of arrival.

Payment

Payment of the accommodation fee and tourist tax must be settled on the day of arrival. If for some reason you leave the accommodation before the end of the period you reserved in advance, you are also obliged to pay the accommodation fee for the booked nights. Payment methods: cash, credit card, wire transfer. The tourist tax must always be paid in cash.

 

Liability

You assume full financial and moral liability for damages resulting from improper use of the accommodation or violations of the house rules. The accommodation service provider does not assume any liability for the guests' belongings.

Smoking

Smoking and the use of open flames are strictly prohibited in the apartments! The balconies are designated places for smoking, please limit smoking to this place and use ashtrays.

Parking

For a separate fee (15 EUR/day), you can book a garage space or a parking space in the courtyard (10 EUR/day) under the apartments. You can park on the street above the house free of charge at your own risk.

The garage and the parking lot in the yard are monitored by camera. The gate at the driveway from the street opens and closes electrically at the push of a button.

Pets

No pets are allowed in the apartments.

 

Use of furniture and apartments

Please use the apartments and furnishings as intended. It is forbidden to take out the furnishings and equipment of the apartments, including towels, blankets, bed linen. Please do not remove decorative items or pictures from their place. Upon departure, we will inspect the apartments and reimburse the guest for any costs resulting from possible damages or shortages, and if necessary, we will initiate legal action.

When leaving the apartments, please make sure that the air conditioner and lights are turned off, and the water taps are closed. In the event of any malfunction, damage, or shortage, please notify the host immediately, we do not accept subsequent complaints. In case of lost keys, the guest is obliged to report the host immediately, and to reimburse the costs associated with replacing or changing the lock.

 

Cleaning

The guests receive the apartments clean, and they must take care of the cleanliness themselves during their stay. Upon separate agreement, it is possible for daily cleaning and changing bed linen and towels for a fee. Collection of household waste is possible in the closed bins in the kitchen and bathroom. If these become full during your stay, please empty them into the large bin in front of the garage. More trash bags are under the sink.

Dining in the apartments

The kitchens of the apartments are well-equipped, where you can prepare simple meals. Do not put objects containing metal in the microwave oven.

Other services

We try to satisfy the needs of our guests in every way. There are equipment, devices and other tools that can be found either in one or the other apartment, but we provide these comfort services to our guests staying in both apartments free of charge upon request: umbrella, sewing kit, shoe care products, iron, ironing stand.

In the absence of a washing machine, the accommodation can even provide a daily laundry service for a fee.

At the time of arrival and departure, the service provider is available on site if required.

Transfer/shuttle service. Upon arrival, departure (between the accommodation and the destination) or during the guest's stay, the accommodation will take care of transporting the guest back and forth on a case-by-case basis, possibly involving an external passenger transport contractor, the cost of which will be borne by the guest.
